Please read first

• This page is used to add streets and zones to your database so that you may then import your membership list/manually create members and/or allow members to register themselves.
• In order to use this page, please use the template spread sheet found here and keep the following in mind;
  • You can name your zone(s) anything you wish, for instance you may number them (1, 2, 3... or One, Tow, Three...), use letters (A, B, C...) or name them (Doordrift, The Vines, Meadowridge....)

    Do not use the word zone as part of the zone name as this (or whatever you call your zones) is automatically applied throughout the system.

  • Street names have to be unique and streets that span more than one zone have to be uniquely identified, e.g.

        > In Zone A, Main Street (1 to 20) and in Zone B, Main Street (21 to 50)

        > In Zone Two, Main street (Zone One) and in Zone Two (Main Sterrt (Zone Two))

        > In fact, anything that ensures the uniqueness of the street name is sufficient but bear in mind your members would need to understand the distinction as well.

  • If you are going to import you membership then you need to ensure the street names are spelt exactly the same in both spread sheets.
  • Only the Streets and Zones columns are imported from the template spread sheet. Please do not add or remove columns.
  • When you add your streets and zones to the template, please ensure you save it as an Excel 97-2003 Workbook only. Other formats will not be recognised and will fail to import.

Importing

• Importing your streets and zones is a faily simple process if the spread sheet is completed correctly. To import, follow the steps below;

1. click the Browse button and select your file.

2. Click the Process upload button that appears once you have loaded the file.

   The detail you see now will depend on how well completed the spread sheet is. In figure 3 below, you will see there are 29 errors. All the rows with errors will be highlighted and to find the problem with a particular row, hover your mouse over the edit button and a small tooltip will appear after a few seconds telling you the problem with that row. You have the oportunity to edit or delete the row - note that this does not affect the contents of the original spread sheet.

3. If you need to edit a particular row, just click the edit button and scroll up the page and you will see the contents of that row are presented and available to edit- figure 4. click Update or Cancel when done.

4. Once any errors have been resolved you will see the following screen;

   Note in the image above that there are 4 pre-exisitng zones which you can view in the drop down list.

   There are also 10 new zones that you will create based on the values in the spread sheet. Although all the new zones to be created are valid, in this instance, the first zone is "??". This is (hopefully) a mistake and should be rectified before clicking the Import Streets button.

5. Depending on how many streets you have, the process of importing may take a while so please be patient. At the end of the process you will be presented with a list the imported streets.

6. Finally, visit the Street & Zone Management page to ensure that all the streets and zones are correct.
